This notice explains how I use personal information when you visit this website, get in touch or book photography with The Captured Moments Co.

Who is responsible for your information?

I am Fraser Carson, trading as The Captured Moments Co., based in Hampshire, United Kingdom. I am the controller of the personal information used in my photography business. You can contact me about privacy at [email protected] or +44 7808 650562.

Information I collect

This can include your name, email address, phone number, preferred contact method, event date and venue, enquiry messages, booking details, contracts, invoices and payment records. I also create and hold photographs of clients and people attending their events. Please only include information about other people when it is needed for the booking and make them aware of this notice.

I receive information directly from you, from the person arranging a shoot or event, and through the services used to manage bookings and deliver galleries. Website services may also collect technical information such as your IP address, device and browser details, pages visited and cookie preferences.

Why I use information

  • Enquiries and bookings: to answer questions, provide quotations, organise photography, communicate with you and deliver your images. For clients, this is necessary to take steps at your request before entering a contract or to perform our contract.
  • Event photography: to photograph events and deliver the agreed service. Where photographs or event arrangements involve guests who are not parties to the contract, I rely on my legitimate interest in providing the commissioned photography service, taking account of their privacy and reasonable expectations. Please tell me about any particular privacy concerns before the event where possible.
  • Business records: to meet applicable accounting and tax obligations, and where necessary to manage or defend legal claims. The bases are legal obligation and, for handling claims, legitimate interests.
  • Website operation and security: to maintain the website and protect it against misuse, relying on legitimate interests where applicable.
  • Portfolio and social media: I ask permission before using client photographs to promote my work. Where this use relies on consent, you can withdraw it by contacting me.
  • Marketing: where you opt in, to send newsletters or other promotional communications. You can unsubscribe or contact me to withdraw consent at any time. Enquiring or booking does not require you to agree to marketing.

Who helps process information?

I use service providers where needed to run the business. These include Studio Ninja for enquiries and booking administration, Pic-Time for galleries and image delivery, and website support, hosting and delivery services including ClickMarketing and Cloudflare. Payment providers process payments when you use the payment options offered to you. Professional advisers or public authorities may receive information where required for accounting, legal obligations or a dispute.

The website also includes services from Google, Meta, WordPress/Jetpack, CookieYes and embedded media providers such as YouTube. Their processing depends on the features you use and your cookie choices. External galleries, payment pages and social platforms have their own privacy notices. Information needed for a service may be processed outside the UK. Contact me for details about the providers and transfer safeguards relevant to your information.

Cookies and embedded content

The site uses cookies and similar technologies for its operation and, depending on your choices, analytics, marketing and embedded content. Use the cookie banner or cookie settings control to view available information and change your choices. You can also manage cookies through your browser. Some third-party content may not work when optional cookies are declined.

How long information is kept

  • Unbooked enquiries: reviewed after 12 months, with information no longer needed deleted.
  • Bookings and contracts: normally kept for six years after the work, subject to applicable accounting requirements, legal obligations or an ongoing claim.
  • Photo archives: reviewed annually and kept only while needed for gallery delivery, agreed archiving or permitted portfolio use. This does not promise indefinite storage or gallery access; your booking arrangements govern delivery and availability.

You can ask for deletion sooner. Some records may need to be retained to meet legal obligations or deal with claims. Withdrawing marketing or portfolio consent does not affect the lawfulness of earlier use. I may keep a minimal record of an opt-out so that your preference is respected.

Your rights and choices

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction of use or a portable copy. You may object to processing based on legitimate interests and to direct marketing. Where I rely on consent, you can withdraw it at any time. These rights are subject to applicable conditions and exceptions.

To make a request or raise a concern, email [email protected]. I may need information to confirm your identity before responding. You can also complain to the Information Commissioner’s Office (ICO).
